What We Collect

The International Complement Society (ICS) will be what’s known as the ‘Controller’ of the personal data you provide to us. We collect basic personal data about you which does not include location-based information. This does, however, include your name, address, email, phone number, etc. We may also collect optional demographic information such as race, gender, type of science, etc. to be used for internal analysis of membership statistics as well as conference grant applications.

Why We Collect It

We need to know your basic personal data in order to provide you with information regarding ICS. We will not collect any personal data from you we do not need in order to provide and oversee these services to you.

What We Do With It

All the personal data we process is processed by our staff in the USA on Amazon servers. No third parties have access to your personal data unless the law allows them to do so. ICS will not sell or distribute your data to a third party for use outside of the society.

AffiniPay is responsible for the security of the cardholder data that our virtual terminal possesses and transmits. AffiniPay’s online portal is certified as a Level 1 Service Provider, this being the highest security level available. More detailed information can be found here. The ICS system does not store any credit cardholder data, nor do our staff have access to cardholder data on Affinipay servers.

How Long We Keep It

Your information will be uses for marketing purposes will be kept with us until you notify us that you no longer wish to receive this information.

What We Would Also Like to Do with Your Data

We would however like to use your name and email address to inform you of our future annual meetings, election notices, surveys, member notifications, etc. and membership offers. This information is not shared with third parties and you can unsubscribe at any time via phone, email or our website. To opt In for all mailings, be sure to login to your ICS account and check the "Opt In" box under Email settings in your account.

What Are Your Rights?

If at any point you believe the information we process on you is incorrect, you may request to view this information, have it corrected or even deleted. Our Data Protection Officer is Karen Gottlieb, our Executive Director, who can be reached at karen@complement.org.

Overview

Write an introduction about your organization and your Privacy Policy. Show your awareness of keeping personal data private. Describe the goal and the meaning of this document for your members.

Collection, use and disclosure of personal information

Add the description of what information are you going to collect? Why do you need it? Describe how are you going to use it, are you going to share personal information with others and and under what circumstances would you be willing to disclose personal information. Try to use simple and plain language. Special attention should be given to safeguarding the privacy of children especially if you work with them directly.

From GDPR law: “Given that children merit specific protection, any information and communication, where processing is addressed to a child, should be in such a clear and plain language that the child can easily understand.”

Giving consent for others

You should include information about how are you going to manage consent if members can provide personal data about others, for example while registering guests or adding bundle members.

Third-parties applications

You should inform your members if you share any personal data with third-party applications, and confirm with any third parties that they are prepared to respond to data requests from your members.

This is a very important section for your organization. Add your contact information (address, email, phone, fax, etc.) so that your users can contact with you with requests for personal information, or to change or delete their information.
